Reporting directly to the Executive team the Executive Administrator works independently performing a wide range of sophisticated and confidential administrative and clerical support duties. Requires excellent communication and social skills and ability to provide information and service to a diverse group of internal and external contacts. Includes responsibility for executive office management as appropriate.
Plan and scheduling meetings, conferences, teleconferences, and travel for executives.
Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
Preparing and maintaining afterwards meeting rooms onsite and off for executive meetings.
Prepares reports by collecting and analyzing information.
Maintains files, travel preference and personal information on executives for concierge level service related to travel and general assistance.
Maintains executive’s confidentiality and protects their time, schedule, and travel.
Completes projects in the order of importance on time.
Secures information by completing database and paper backups.
Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
Maintain executives’ offices and their supplies.
Contributes to team effort by accomplishing related results as needed.
On call during executive travel to assist as needed.
Skills and Qualifications:
Written and verbal communication skills
Computer software skills including Microsoft Office
Time management skills
Office equipment maintenance
Education and Experience Requirements:
Bachelor’s degree preferred but not required, or equivalent experience.
Five to ten years of administrative experience
Five to ten years of executive assistant experience
Experience managing multiple calendars.
Experience booking travel.
